Job Opening: Data and Operations Manager

Job Description

As the data and operations manager, you will manage data files vital to the success of our voter engagement work, help partners locate missing packets and resend as necessary, provide support for office tech and administrative needs, and light bookkeeping and reporting.

25-30 hours per week with benefits, plus the option of additional hours in summer and fall months during run-up to elections. 

Duties and Responsibilities

Data management and relations:

  • Process National Voter Registration Day orders during peak fall drives: Export order data, ensure data compliant with mail house needs, add appropriate codes, send to mail vendor, import and tag processed data.
  • Triage orders and partner questions when kits shipments are missing or delayed. Resend material manually as necessary.
  • Assist with cleaning of voter contact data from States Program and importing into database for ongoing tracking and progress reports.
  • As needed, provide back-end technical support of webinar series, uploading completed data files into the database, assist with chat box for tech help, etc.
  • Provide support to communications team with managing of CRM, tagging data, assist with web form creation, and related.

Office Tech and Admin:

  • Manage office tech systems like Dropbox hierarchy, VoIP phone system, G-mail admin, ClickTime (time tracking), etc. including setting up new accounts and ensuring staff utilize systems properly.
  • Work with vendors as needed for building maintenance, postage meter, printer repair.
  • Receive and sort mail and bills.
  • Enter contributions into donor database (FileMaker).

Finance / Bookkeeping:

  • Process bills and write checks, enter EFTs
  • Do bi-weekly “Journal Entry” imports for QB.
  • Distribute credit card tracking forms to staff, enter approved class and account codes for corresponding charges.
  • Monthly reconciliation of Checking, Amex, Fidelity, eBay.
  • Make bank deposits
  • Generate monthly budget report

Desired Skills and Qualifications

  • Tech savvy, proficient in office tech and cloud-based systems
  • Intermediate to advanced Excel skills (find & replace, concatenated fields, formulas)
  • Proficiency with CRM and data management systems (Action Network, FileMaker, etc.)
  • Finance background and proficiency with QuickBooks
  • Ability to work well with and utilize expertise of external consultants for CRM, Finance

Requirements

  • A bachelors degree or equivalent nonprofit experience.
  • At least 2 to 4 years of operations, data, and/or finance experience.

Salary and Benefits
This is an hourly position that will pay between $22 and $27 / hour DOE. Approximately 25-30 hours with option of additional hours during summer and fall months. Retirement, commuter pass, paid vacation, and other benefits provided. Health and dental available at 30+ hours (with option for additional fall hours).

Position is based in Cambridge, MA (telecommuting during COVID lock-downs). Occasional, though limited, travel may be required.
